August 22-24th at The Western N.C. Agricultural Center
Exhibitor Registration Information
Daily public admission: $10 adults, ages 13-18 $5, 12 and under get in for free.
All Exhibitors must check-in with Exhibitor Registration prior to set-up!
- Commercial Exhibitors with larger displays must begin setup Thursday, August 21st, 2008.
- Exhibitors with small booth displays may begin setup Thursday, August 21st, or Friday August 22nd, between 8:00 am and 11:30 am.
- Individuals and Exhibitors with display vehicles for the ECO Clean Air Car Fair are requested to PLEASE bring them Thursday if possible. Tom Davis of ECO is Coordinator of the ECO Car Fair area, and his decisions on placement are final. We will have the largest and most comprehensive car fair in the nation, so organizing all the vehicles is no easy task!
- Exhibitors are responsible for set-up of all booths and displays, as additional labor may not be available. If you have special needs to set up, please contact SEE Expo IN ADVANCE.
- ALL EXHIBITS AND BOOTH SPACES MUST BE COMPLETED, occupied, and prepared for the public no later than 11:30 am, Friday August 22, 2008 to accommodate local and regional media representatives, BE READY FOR THE PUBLIC and to be able to pay attention to last minute announcements and information.
EXHIBITOR BOOTHS
- Commercial Exhibitor Booths are nominal 10' x 8' spaces located in the Indoor Arena area, including an 8' x 30" table and two chairs.
- Non-profit/Conservation Booths are nominal 10' x 8' spaces in the Indoor Arena Area, with no table or chairs provided.
- Extra tables, chairs and electricity are available for any Booth. Additional table ($10) and/or chair ($5) rentals (includes all three days) and/or electricity ($30 per booth space, 20 amp max, all three days) must be ordered in advance to assure they'll be ready for you. Last minute orders will be honored if possible, however those who ordered in advance will be served first.
- Exhibitor Booth assignments and floorplan will be determined by Expo staff, but special requests will be graciously considered, such as being adjacent to another Exhibitor. Exhibit Booth assignments will be included in your final registration confirmation package.
- Additional outdoor display areas are available and highly encouraged for all registered Exhibitors, free of charge from the S.E.E. Expo. Additional WNC Ag Center fees might apply (water, power or set up fees). Exhibitors must anchor their indoor arena booth(s), however outdoor displays and exhibits may be freestanding and unattended, if appropriate.
NONPROFIT/ CONSERVATION EXHIBITORS:
Nonprofit/ conservation Exhibitors are offered a lower booth rate with the understanding that their purpose is education, information, activism and regional cooperation, NOT direct fundraising or sales of product. Limited transactions are permissible, for example, membership dues or organization T-shirts, however the intent should not be to engage in direct sales or fundraising.
EXHIBIT BOOTH/DISPLAY BREAKDOWN:
Exhibitor booths and/or displays may not begin breakdown until 5:00 pm Sunday, August 24, 2008 and must be completed by midnight, Sunday, August 24, 2008. Any items or materials not removed from the Western N.C. Agriculural Center by midnight August 24 will be removed, by the S.E.E. Expo staff or the staff of the Western N.C. Agricultural Center, with any and all relevant expenses billed to Exhibitor.
EXHIBITOR CLEANUP:
At the end of each day of the Expo, each Exhibitor is responsible for clean up of their exhibit area and/or display area and/or camping site. Please place trash or waste in appropriate containers or take it with you. Clean up charges may be imposed for damage or trash left behind, during or after, the Expo.
EXPO ADMISSION PASSES:
Each Exhibitor will receive four (4) General Admission passes for four persons all weekend. Additional passes must be purchased for Expo admission or Exhibitor/V.I.P. networking dinner admission.
SIGNS/FLYERS:
Exhibitors need to provide their own signs, flyers or banners. Signs or banners must not extend into, or interfere with, adjacent booth spaces in any direction. Flyers or handouts may be distributed from your booth space only and pertain only to your exhibit.
EXHIBITOR / R.V CAMPING & TENT CAMPING:
R.V. camping with hookups is available on-site at the Western N.C. Agricultural Center. Limited full hook-up sites available, so first come first served! Tent camping (no hook-ups) will be available also. Click here for more information and to reserve your spot!
DOGS AND/OR PETS WILL NOT BE ALLOWED
in the Indoor Arena or on the public grounds of the Expo at any time during the weekend, except Handicapped or Seeing Eye dogs. Exhibitor's quiet and well behaved small dogs or pets will be allowed ONLY in the campground area, but must be restrained or on a leash AT ALL TIMES! No exceptions! Barking, noise or ANY objectionable behavior of any pet is grounds for expulsion from the campground. Please, we all love the critters, but this isn't the place or time for them. Thank you for your cooperation.
The Southern Energy & Environment Expo Director and/or staff reserves the right to deny, reject or remove any Exhibitor, booth, sign or advertisement deemed inappropriate or offensive to the general public or the intent of the Expo, as outlined in "S.E.E. Expo Exhibitor Rules", with no refunds after July 2nd, 2008.
